How to compress an image to a specific file size

You've hit the wall almost everyone hits eventually: a form or website won't accept your photo because it's "too large." It wants the image under 2MB, or 1MB, or — the really tight ones, like some government and visa forms — under 100KB. Your phone photo is 4MB, the upload button stays greyed out, and you're stuck. Here's how image file size actually works, and how to bring a picture down to an exact target without ruining it.

Why photos are so big in the first place

Modern phone cameras capture enormous amounts of detail — often 12 megapixels or more — and a single photo can easily be 3 to 8MB. That's wonderful for printing or zooming in, but it's far more than most uploads need. Meanwhile, forms set size limits to save storage and bandwidth, and to keep things fast for everyone. The mismatch between a huge modern photo and a modest upload limit is exactly why you keep running into this.

The two things that control file size

Almost all of an image's file size comes down to two levers, and understanding them is the whole game:

Hitting an exact number is the hard part

Here's the real frustration with doing this by hand. You lower the quality, export, check the size — still too big. Lower it more, export again — now it's tiny and ugly, well under the limit but worse than it needed to be. Getting close to a specific target like "just under 500KB" by trial and error means exporting the same image over and over, nudging a slider each time. It's tedious, and you usually overshoot.

If a target feels impossible at full resolution, that's your cue to reduce the dimensions — a smaller photo can hit a small target while still looking clean, because you're no longer asking heavy compression to do all the work alone.

A note on not overdoing it

It's tempting to crush a file as small as possible, but there's no prize for going far under the limit — you only lose quality you didn't need to.
